ASME CONFERENCE TOOLBOX
Author Help Manual
Overview
Paper Flow Process
The ASME Conference ToolBox is a web-based planning tool that allows conference organizers and potential authors to submit and manage their technical content online.
Once an author submits a paper, it is assumed the author intends on participating in the conference. The management of a paper is dependent upon the type of paper submitted by an author. Three examples of paper flow processes are explained below.
Technical Publications, Posters, and Other Peer-Reviewed Publications
A designated conference organizer will review the initial abstract(s) and accept or reject it.
If the abstract is accepted, a draft paper should be submitted for full review.
A designated conference organizer assigns one or more reviewers to a paper. Once the paper has been read, the reviewer completes the online review form and provides revision comments (if any).
The designated conference organizer will look over all reviewer comments and provide comments for the author’s use.
The designated conference organizer accepts/rejects the paper, and the author is notified via email. If accepted, the author should submit a final paper for publication in the conference proceedings.
The author can upload the final paper through their author account. The author should update the paper and author information, as well as the text of the abstract.
The
author is expected to attend the conference and present their work.
NOTE: In some cases, the initial abstract is automatically accepted
or is not required. If this is the case should type in their abstract/description
and submit the draft paper as the second step.
Extended Abstracts, Short/Forum Papers, and Other Non-Peer-Reviewed Publications
A designated conference organizer will review the initial abstract(s) and accept or reject it.
If the abstract is accepted, a draft of the extended abstract, short/forum paper, etc., should be submitted for publication consideration.
The designated conference organizer will look over the submittal and provide comments for the author’s use.
The designated conference organizer accepts/rejects the draft, and the author is notified via email. If accepted, the author should submit a final extended abstract, short/forum paper, etc., for publication in the conference proceedings. The author should update the paper and author information, as well as the text of the abstract.
The author can upload the final extended abstract, short/forum paper, etc., through their author account.

NOTE: In some cases, the initial abstract is automatically accepted
or is not required. If this is the case should type in their abstract/description
and submit the draft paper as the second step.
Presentation Without Publication (PWP), Presentation Only, Workshops, and Other Non-Published Paper Types
A designated conference organizer will review the initial abstract(s) and accept or reject it.
If the abstract is accepted, the author can submit a presenting author biography.
The author is expected to attend the conference and present their work.
The designated conference organizer will look over the submittal and provide comments for the author’s use, as needed.
The author should update the paper and author information, as well as the text of the abstract.
NOTE: All accepted papers are tentatively accepted. Publication in the conference proceedings is not guaranteed if materials required for publication are not submitted in accordance with the publication specifications and schedule. Please view the author resources and publication schedule on the conference site for more information.
