WTC2005 - Frequently Asked Questions

Where can I find information on my assigned session date and time?
Once the session schedule has been assigned, your session date and time will be available from your author account. To view this information, click on the Details link of the relevant paper number.


How do I know if my paper has been accepted as an oral presentation or a poster presentation?
If your paper has been accepted as an oral presentation, your paper type will display as Extended Abstract. If your paper has been accepted as a poster presentation, your paper type will display as Poster. Your paper type can be viewed from your author account.


Why has my paper type been changed to a poster?
The World Tribology Congress is designed to have two strong components, an oral presentation group with about 600 papers and a poster group with about 300 papers. Please be assured that the organizing committee does not view posters as being different in terms of quality or importance compared with oral presentations. The decision on quality was determined earlier in terms of initial abstract acceptance for the Congress. The acceptance rate of offers was 80% so your contribution already passed the quality hurdle by being accepted for this important and prestigious event. Although authors were given an opportunity to show a preference for oral or poster format (and many chose a poster for reasons discussed below), in the end the number of meeting rooms available at the hotel was what determined the number of each type.


Oral sessions are organized based on groupings of papers by topic areas. Each paper is unique, and its subject and scope was looked at by the Track Organizer before making a decision on type of presentation. Many were selected as posters because their scope was of much broader interest than the topics of a specific oral presentation session. A poster reaches a much broader audience than an oral presentation since it will be available to all 1000+ of the attendees as opposed to the 50-100 that are expected in one of the eight sessions that will run simultaneously. Note that WTC posters are not in a back room. They are centrally located with the exhibits and refreshments will be provided, which will draw a big crowd.


Besides the increased audience potential, a poster can be more valuable for several other reasons. You will have much more time to make your poster presentation (an hour or more) and much more time for questions and answers, which is a vital part of a technical conference. Oral presentations are limited to 15 minutes with 5 minutes of Q&A so what you can present is very limited (typically no more than 6-8 slides) and the feedback will also be limited. Your poster board is 8 feet by 4 feet, which allows you to present a lot more information (you could fit 48 sheets of paper on it, but we wouldn't advise that!). If English isn't your first language, it is usually much less stressful to present a poster. For these reasons, many people prefer a poster over an oral presentation.


The Congress is far more than the individual presentations, or their formats. It is a once-every-four-years gathering of the world's tribologists, from the most eminent to the most recent recruits. The Congress appreciates your contribution and we look forward to seeing you in Washington, DC.


How do I know if I've done everything I needed to do to ensure my paper will be published?
The requirements for publication are:


  • One final extended abstract (PDF) submitted through your conference author account
  • A completed 1903 form


To view if both items have been received, log into your author account and view the Details link of the relevant paper number. The status area will list the paper statuses, Final Paper Submitted and 1903 Form Received.


How do I prepare my poster?
Well-organized and well-prepared posters offer a great opportunity to develop personal contacts in a large meeting. However, the poster session is much more than a question-answer encounter, it should retain all the good points of the oral session as well as provide an opportunity for individuals to ask specific questions. In this regard, we urge you to prepare a short (3-5 minutes) oral summary (mini-lecture) of your paper and give these mini-lectures to the audience at your poster station. How long is my oral presentation and what do I need to know to prepare?
Each presentation will have 20 minutes total. So prepare to speak for 15 minutes only. Leave 5 minutes for questions and answers. Rehearse your speech. How do I register for the conference? When should I register?
If you are presenting an oral or poster presentation, it is essential that you or a co-author register and pay the registration fee by the author registration deadline. Your registration confirms to the conference organizers that you will be presenting your material at the conference. Without your registration we will presume that you are no longer able to present. Also, please note that publication of your extended abstract cannot be guaranteed without you or a co-author registering and paying the appropriate fees by the author registration deadline. If you have difficulty registering and paying the appropriate fees by the author registration deadline, please contact the conference organizers at wtcinfo@asme.org to explain your situation.

Why should I stay at the conference hotel?
When you factor in cab fees and the time associated with travel to alternate hotels, you may not benefit as much financially as you had planned. By staying at the Washington Hilton, the host hotel, you gain the opportunity to further network with your industry peers and remain in the center of the activity surrounding the conference. The WTC Organizers recommend this hotel exclusively.

Can I submit the full manuscript to another conference or journal?
Once a paper has been published by ASME, an author or other interested party may wish to submit it for inclusion in a non-ASME publication or to incorporate some or all of its elements in another work. Since ASME is the legal holder of copyright for its papers, it will be necessary to secure ASME's permission as the copyright holder to have its material published in another source. In this case, requests should be directed to permissions@asme.org for permission to use ASME material elsewhere - in whole or in part, as is or adapted. Please note that royalty fees may be assessed.


If a paper has been published in an ASME conference proceedings, authors may choose to submit it for consideration as a full-length archival quality paper in one of the ASME Journals. In this case, a digital copy of the paper should be directed to http://journaltool.asme.org to the specific Journal that best suits the subject matter of the paper.


In addition, please note the following:

  • Systematic or multiple reproduction, distribution to multiple locations via electronic or other means, duplication of ASME material, or modification of the content to the paper without the prior written permission of the publisher are prohibited.
  • The posting of an ASME-copyrighted paper on an internal or external server controlled exclusively by the author/employer is restricted and, in most cases, prohibited. Please contact permissions@asme.org for details.
  • In accordance with the provisions of Fair Use, one printed copy of an ASME paper may be made for personal use only.


My abstract has been accepted but I won't be able to present at the conference. Can a co-author/ colleague present on my behalf?
This is subject to each individual situation. There are restrictions about presenters making multiple presentations. Please notify the conference organizers immediately of this situation at wtcinfo@asme.org before the advance registration deadline.
